1. It is a Date
The venue sets the vibe. Pick a date and time that works for you and your potential guests. You can host the swap at your home, a community center, a local library, park or even a coffee shop with enough space. If meeting in person isn’t possible, consider organizing a virtual swap where participants mail puzzles to each other.
Pick a time and date that does not conflict with any major holidays. Evenings and weekends work well for most. Consider a date to commemorate or celebrate something. (i.e, National Puzzle Day -January 29th, in conjunction with a community event, a pre-Christmas exchange. etc.)
2. Get the Word Out
Calling all puzzlers. Invite friends, family, neighbors, or local puzzle groups. Create a Facebook event, send out an email, or use community bulletin boards. Be sure to mention the date, time, location, and any guidelines for the swap.
Depending on the size of the group that may be attending, consider asking for RSVP’s or possibly a registration. Send reminder or confirmation emails close to the day of the event.
3. Establish Guidelines
